Get Ready for Camp: Registration Details

Follow the steps below to ensure your group is fully prepared and registered for Camp. Whether you're a youth pastor or church coordinator, volunteer staff, or a parent, we've outlined the process to make it easy for everyone involved.

    How To Register Online

        OKAG Network Churches will receive an email from Oklahoma Assemblies of God with the CAMP ACCESS CODE to register for camp before Brushfire Registration is live. Non-OKAG church will be able to register for camp without an access code on January 31, 2025.


        • Find the link to register your group for camp at okag.org/youthcamp or okag.org/kidscamp.
        • Select the number of Male and Female Campers and the number of Male and Female Staff you are bringing to camp.No names will be required at this time.
        • Follow Brushfire’s prompts to create a group.  Remember to record the password to manage your group.  This will be important to keeping up with the progress of your staff’ registration.
        • Follow Brushfire’s prompts to pay your deposits for campers ($30) and the full amount for each staff ($60).
        • Staff spots are non-transferable and non-refundable.
        • Payment can be made with a credit card, or you can select to pay with a check. To pay with a check, mail check to OYM Camps or OCM Camps PO Box 13179, Oklahoma City, Ok 73131.  Checks must be received by January 15, 2025. If you select to pay with a check, this locks in the method of payment and cannot be changed.
        • The remaining balance for camp may be paid at any time up until Camp Check-in. All balances must be paid in full at Camp Check-in.

    Volunteer Staff

        Step 1: Complete Digital Staff Application

        Fill out the Camp Staff Application online.


        Step 2: Submit Background Check

        Complete your background check through Ministry Safe (emailed directly from Ministry Safe, due by May 1).


        Step 3: Finish Sexual Abuse Awareness Training


        Complete the Sexual Abuse Awareness Training through Ministry Safe with OKAG (emailed directly from Ministry Safe, due by May 1).


        Step 4: Submit References

        Confirm that your pastoral and character references have been submitted (due by May 1).

    Staff Registration Process

        Decide who your staff are, gather their legal name and email address.


        Enter Staff names in Brushfire during the 2-week window. If names are not entered during this time frame, you will need to email your staff applicants names and email addresses to the appropriate email, or they WILL NOT be cleared in time for camp. Youth Camp: youth@okag.org or I Camp, Kids Camp, Little Radicals:  kids@okag.org


        After their information is entered in Brushfire each staff will automatically receive a Staff Application. Character and Pastor References can be sent by the staff applicant or the group coordinator, however it is the responsibility of the coordinator to ensure these forms are completed for each staff.


        Character References cannot be filled out by any relation or spouse.


        Pastor References need to be filled out by a senior pastor and cannot be filled out by any relative. In this case, please contact the section’s Presbyter.


        Ministry Safe Training and Background Check links will not be sent until the Staff Application has been completed.


        After a staff member’s name and email are entered in Brushfire, any changes in personnel will require the purchase of a new staff spot.  NO STAFF APPLICATIONS WILL BE ACCEPTED THE WEEK PRIOR TO THE CAMP YOU ARE ATTENDING.


        Staff attending camp with your group will be required to have these documents on file before they are allowed to stay at camp:


        • Staff Application (A Medical Form is part of this application.)
        • Pastor Reference
        • Character Reference
        • Ministry Safe Background Check*
        • Ministry Safe Training Certificate**

        *All Background Checks must be run through OKAG account with Ministry Safe.  If a staff member has had a background check for OKAG from 2024, we will not ask for a new one. We cannot accept a background check from another organization.


        **This Certification must be achieved through OKAG Ministry Safe Account. We cannot accept another organization’s certificate.


        At any point during the pre-camp process, a one-time $20 late fee will be added to each staff applicant if a deadline has been missed on any staff requirements.
 


        Brushfire is now integrated with our Staff Application process! This means you will be able see when your staff has completed their Staff Application.


        It is vital that you record your Brushfire group password to manage your account. Ministry Safe Training and Background Check info will not be linked through the Brushfire software. Each staff member will be sent the appropriate links when the Staff Application is completed. Check with your staff to track their progress with Ministry Safe Training and Background Checks, as well as their Character and Pastor References.


        All forms are digital. There are no paper forms

    Camper Registration Process

        At the same time that you add staff information in Brushfire, you may go into your group in Brushfire and add your camper’s names.


        These are NOT linked to a Medical Form as the Staff spots are and may be changed as your group changes.  You may change them up until camp. We will use your Brushfire roster to compare names of the Medical Forms.


        The Camp Coordinator is responsible for finding the link in the confirmation email and making it available to parents.


        We recommend that you have your parents complete the Medical Form two weeks before camp, if possible. We understand that last-minute substitutions may happen, and when they do, please have the parent complete the Medical Form as soon as possible. We also recommend that you ask your parents to forward their confirmation email to you so you can know that the Medical Form is complete.

As you consider applying to become a youth camp intern, check out some of the jobs you’ll be asked to do. Expect to work hard! Being a youth camp intern includes the following and more:

Set up, tear down and clean up duties


Those chosen as summer interns are few, but they are among the most excellent and and hardest-working students from our state. Former interns have told us serving at camp built their character, taught them flexibility, gave them a strong work ethic, helped them build lifelong friendships, and strengthened their hearts to serve both the students and the leaders of our state.


We will only be accepting a select number of interns for our summer session so fill out your application as soon as possible. We look forward to meeting you and hope that we will have the opportunity to serve with you this summer!

    Color Teams

        Our color teams are a big part of our recreation aspect of camp! Color teams are divided based on attendance and room assignments. These factors do not allow us to establish teams until a week before the camp you attend. We try our best to get these colors to you so your group can have everything you need to show off your team spirit! Camp coordinators will be notified no earlier than a week before camp and no later than two days before their camp. 

    Food Allergies

        If your staff or student has a dietary restriction or allergy, please work through your church’s Camp Coordinator to ensure that is communicated. We may be able to make accommodations for gluten-free or gluten-sensitive diets if known two weeks before the start of your camp. At on-site registration in the Rock, please let the camp staff know.  We may not be able to accommodate other restrictions. Those who have restrictions are more than welcome to bring their own food. We have a fridge and microwave in the Dining Center to store and heat their food. The coach or student is responsible for preparing any of these stored foods.  

    Visitors

        To ensure the safety of all camp attendees, no visitors will be allowed on the campground except credentialed ministers with the Oklahoma Assemblies of God and their spouses. However, ministers must notify the Camp Office of their intent to visit so we can notify Security. We ask that the number of guests accompanying each minister be limited to their spouse. No children will be allowed to visit.  

    Early Check-Out Protocol

        No campers will be allowed to leave unless in case of an emergency or pre-approved departure. All departures from camp must be approved by camp staff. 

         

        Please notify the Camp Office prior to the student being picked up. If you know before camp, you can fill out the Early Check-Out Form. This form can be turned in at check-in. 


        We ask that only the Parent/Guardian on their medical form pick them up.


        To ensure a smooth check-out, please have the student pack up their items and bring them to the camp office before pick up. Please communicate with the parent/guardian and camp office at the pickup time.


        Upon Parent/Guardian arrival, they will be held by the security guard at the gate and escorted to the Camp Office. Parents will need to bring their Driver’s License to the camp office. From there, security will bring the Parent/Guardian and student back up to the gate. 

    Medicine

        All medicine must be checked in to the camp nurse.

        All medications must be in their original containers with the current/correct label.


        Pills sent in Ziplocks or weekly dose containers will not be given.


        Expired medication will not be given.


        All inhalers, nasal sprays, and epi-pens must be in the original box with the prescription label (if the box is unavailable, ask the pharmacy to print a label).


        All medication, vitamins, supplements, and oils must be stored in the First Aid Station.

        All medication, vitamins, supplements, and oils must be administered by the First Aid Staff in the First Aid Station.


        NO MEDICATION, VITAMINS, SUPPLEMENTS, OR OILS WILL BE ADMINISTERED TO MINORS UNLESS LISTED ON THE SIGNED MEDICAL FORM. 


        If the parent/guardian lists a dosage for medication that is different from the doctor’s prescribed dosage listed on the bottle, the listed dosage will be administered, and the parent/guardian will assume all responsibility for the changes.

    Forms

        Sometimes, when we send out emails, reference forms, staff applications, or medical forms, they get sent to junk mail. Please check your junk mail if these items are not in your primary inbox. You can search for Oklahoma Youth Ministries or Ministry Safe. 

    Refunds

        New this year – Cancellations may only be made up to 10% of your total group registration. Any spots canceled beyond 10% will require the full camp balance to be paid, even if a camper does not fill the spot.


        Changes and cancellations are only to be made by the Group’s Camp Coordinator. 


        Changes or cancellations made to your group between Nov 15th - March 20th, will receive a partial refund of $15 per camper. $15 will be nonrefundable at all times.


        Camper deposits of $30 are non-refundable after March 20, 2024.

        No refunds will be given for staff fees.   


        Changes or cancellations made to your group between March 20, 2024, and the guaranteed Minimum Deadline will forfeit the $30 deposit but will not be responsible for the remaining balance. 


        You will be responsible for the full registration cost for ALL reserved spots after your camp’s respective Guaranteed Minimum date.
